How do you control stock in a phone repair shop?

Give every part and accessory a minimum level, take parts out of stock as they go into each repair, record every adjustment with a reason, and order through purchase orders you receive against. You then know what you have before you promise a repair, and what to reorder before you run out.

Why is stock hard in a repair shop?

Parts go out two ways: sold over the counter and used inside repairs. If only the till counts stock, every part used in a repair is missing from your numbers, and the shelf and the system drift apart until a customer is waiting for a screen you thought you had.

What should you record for each part?

  • A name that says the model, so nobody fits an iPhone 12 screen into a 12 Pro.
  • A barcode, your own if the supplier’s isn’t there, on a printed label.
  • Cost price and sell price, so you can see your margin.
  • A minimum level, the point at which you reorder.

How do you stop the numbers drifting?

  • Take parts out of stock in the repair itself, at the moment they’re fitted.
  • Make every manual change carry a reason: damaged, faulty from supplier, counted short.
  • Count the parts you use most often every week, and everything else every few months.

How should you order parts?

Raise a purchase order for what you need, and receive it against the order when it arrives. A delivery that comes in part is received in part, so the rest stays on order and you can see what’s still to come.

How Fixory handles stock

In Fixory, each product has sell and cost prices and a minimum stock level, and products at or below it are flagged as low stock, including on the dashboard. You can generate barcodes for your own products and print labels, and import products from a CSV or Excel file with a preview first.

Every stock change is recorded with who made it and why, and manual adjustments need a reason. Parts used in a repair are taken from stock. You raise purchase orders, receive them in part or in full, and keep a list of suppliers. Stock across more than one shop location isn’t supported yet.

Questions shop owners ask

How do I set a minimum stock level?

Start from how many you use in the time it takes your supplier to deliver, plus a few for a busy week. A screen you fit twice a week from a supplier who delivers next day needs a smaller minimum than one that takes a week.

Does Fixory take parts out of stock when they're used in a repair?

Yes. Parts used in a repair are taken from stock, and the stock movement is recorded.

Can Fixory keep stock for more than one shop location?

Not yet. Each shop keeps its own stock; stock across more than one shop location isn't supported.
